Policies & Participation Agreement

Welcome to Coastal Math Collaborative!
Our goal is to provide children with a safe, positive, collaborative environment where they can explore mathematics, build confidence, and develop meaningful mathematical thinking. The following policies are designed to help families understand what to expect when participating in Coastal Math Collaborative programs.

Enrollment & Tuition

Registration requests are subject to availability and do not guarantee enrollment. A child’s placement is confirmed only after the parent/guardian receives confirmation from Coastal Math Collaborative.

Program tuition, session dates, schedules, and payment terms will be provided on the applicable program or registration page. When a parent/guardian accepts a confirmed placement, the child is enrolled for the full program and the parent/guardian assumes responsibility for the full stated tuition.

Programs may require a minimum number of participants in order to run. No payment is due until enrollment is confirmed unless otherwise stated for a particular program.

Attendance & Missed Sessions

Regular attendance is encouraged so that children can benefit fully from the collaborative learning experience. Parents/guardians are asked to notify Coastal Math Collaborative when a child will be absent.

Tuition reserves a child’s place for the duration of the program. Because enrollment is intentionally limited, credits, refunds, or prorated tuition are not provided for sessions missed due to a child’s absence, including illness, travel, family commitments, or other scheduling conflicts.

If Coastal Math Collaborative must cancel a session, reasonable efforts will be made to provide a make-up session. If a make-up session cannot be provided, an appropriate credit or refund will be issued.

Withdrawal & Cancellation

Because Coastal Math Collaborative programs are intentionally small and enrollment is limited, accepting a confirmed placement reserves a space for your child for the full program. Once a family accepts a confirmed placement, tuition is nonrefundable except as described below.

If a family must withdraw before the program begins, please contact Coastal Math Collaborative as soon as possible. If the vacated space can be filled by another participant, tuition paid may be refunded, less any nonrefundable payment processing fees.

After a program has begun, refunds or tuition credits are generally not provided for withdrawal or missed sessions. Coastal Math Collaborative recognizes that exceptional circumstances may arise and reserves the discretion to consider such situations individually.

If Coastal Math Collaborative cancels an entire program before it begins, any tuition already paid for that program will be refunded in full.

Arrival, Dismissal & Authorized Pickup

Parents/guardians are responsible for ensuring that children arrive safely at the designated program location, are checked-in, and are picked up promptly at the scheduled dismissal time.

Children will be released only to a parent/guardian, the emergency contact, or another individual authorized by the parent/guardian on the child’s registration form. Coastal Math Collaborative may request identification before releasing a child to an individual who is not personally known to the instructor.

If someone not previously authorized needs to pick up a child, the parent/guardian must provide advance notice to Coastal Math Collaborative. A child will not be released to an unauthorized individual without confirmation from the parent/guardian.

Parents/guardians should notify Coastal Math Collaborative as soon as possible if they expect to be late for pickup. Repeated or significantly late pickups may affect a child’s continued participation in the program.

Health, Illness & Emergency Procedures

Parents/guardians are responsible for providing accurate and current information regarding any allergies, medical conditions, medications, or other health needs that may affect their child’s participation. Coastal Math Collaborative should be notified promptly of any changes to this information.

Children who are experiencing fever, vomiting, diarrhea, or symptoms of a contagious illness should not attend a program session. If a child becomes ill during a session, the parent/guardian or emergency contact will be notified and may be asked to pick up the child promptly.

Parents/guardians are responsible for informing Coastal Math Collaborative of any emergency medications their child may require, including EpiPens or inhalers, and for providing any necessary instructions regarding their use. Arrangements regarding the storage, accessibility, or administration of medication should be discussed with Coastal Math Collaborative before the child attends the program.

In the event of a medical emergency, Coastal Math Collaborative will make reasonable efforts to contact the parent/guardian and emergency contact. When immediate care is reasonably necessary, emergency medical services may be contacted.

Behavior & Participation

Coastal Math Collaborative is committed to providing a welcoming, respectful, and collaborative learning environment where children feel comfortable exploring ideas, taking mathematical risks, making mistakes, and learning alongside others.

Children are expected to treat other participants, instructors, materials, and the program space with respect and to follow reasonable directions related to safety and participation. Behavior that is unsafe, significantly disruptive, or repeatedly interferes with the learning or well-being of others will be addressed promptly.

When concerns arise, Coastal Math Collaborative will make reasonable efforts to support the child and communicate with the parent/guardian. Depending on the nature or severity of the concern, a parent/guardian may be contacted and asked to pick up the child.

If significant or repeated behavioral concerns cannot be resolved despite reasonable efforts and continued participation is not appropriate for the child or the group, Coastal Math Collaborative reserves the right to discontinue the child’s participation in the program. Any tuition adjustment in such circumstances will be considered based on the individual situation.

Program Changes & Cancellations

Coastal Math Collaborative will make reasonable efforts to provide programs as scheduled. Occasionally, circumstances such as instructor illness, severe weather, facility issues, low enrollment, or other unforeseen events may require a session or program to be rescheduled, modified, or canceled.

Families will be notified as promptly as possible of significant schedule changes or cancellations. If Coastal Math Collaborative cancels an individual session, reasonable efforts will be made to provide a make-up session. If a make-up session cannot be provided, an appropriate credit or refund will be issued.

If Coastal Math Collaborative cancels an entire program, families will receive a refund for any canceled sessions for which tuition has been paid.

Parent/Guardian Responsibilities

Parents/guardians are responsible for providing complete and accurate registration, contact, health, emergency, and authorized-pickup information and for notifying Coastal Math Collaborative promptly of any changes.

Parents/guardians are also responsible for reviewing program-specific information, including dates, times, location, tuition, and any materials or preparation requested for participation.

Open communication is encouraged. Parents/guardians are asked to contact Coastal Math Collaborative with questions, concerns, or information that may help support their child’s successful participation.

Personal Belongings & Program Materials

Children are encouraged to bring only items needed for participation in the program. Personal belongings should be clearly labeled when appropriate. Coastal Math Collaborative is not responsible for lost, misplaced, or damaged personal items.

Materials and supplies needed for workshop activities will generally be provided by Coastal Math Collaborative unless families are notified otherwise. Children are expected to use program materials and equipment appropriately and with reasonable care.

Families will be notified in advance if a particular program requires a child to bring any additional materials or supplies.

Agreement & Acknowledgment

By registering a child for a Coastal Math Collaborative program, the parent/guardian acknowledges that they have reviewed and agree to the Policies & Participation Agreement and any program-specific information provided at the time of registration.

Parents/guardians understand that these policies are intended to support a safe, positive, and successful experience for all children participating in Coastal Math Collaborative programs.

Coastal Math Collaborative may update these policies from time to time as programs grow or circumstances require. Families will be notified of any significant changes that affect their child’s participation.
